How to make an invoice in 3 steps

  1. 01

    Add your details

Your business name and contact details, then who the invoice or estimate is for. Pick a currency and the dates.

  2. 02

    List the work

One line per job, material or hour, with quantity and unit price. Tax and discount are calculated for you.

  3. 03

    Download the PDF

Click Download PDF and choose “Save as PDF”. Email it, print it, or hand it over on site.

What to put on an invoice vs. an estimate

They look alike, but they do different jobs. An estimate wins the work; an invoice gets it paid.

An invoice should include

  • The word “Invoice” and a unique, sequential invoice number
  • Issue date and payment due date
  • Your business name, address, contact details and tax ID if you have one
  • Your customer’s name and billing address
  • Each item or service with quantity, unit price and amount
  • Subtotal, any discount, tax and the total amount due
  • Payment terms and how to pay you

An estimate should include

  • The word “Estimate” and an estimate number
  • Issue date and how long the price is valid
  • A clear scope of work, step by step
  • Line items for labour and materials
  • What is not included (exclusions)
  • Deposit and payment terms
  • A place for the customer to sign and accept

An estimate is sent before the work to tell the customer what it will likely cost and what is included. An invoice is sent after the work (or for a deposit) to request payment for an agreed amount.
