What a good estimate includes

A clear estimate avoids arguments later. Make sure yours covers these seven things.

  1. Scope of work

Describe exactly what you will do, room by room or step by step, so there is no doubt about what the price covers.

  2. Line items

Break the price into labour, materials and extras with quantities and unit prices. Customers trust numbers they can follow.

  3. Materials

Name the products, brands or grades you will use, and say whether materials are included or billed separately.

  4. Exclusions

List what is not included, like hidden damage, permits or moving furniture. This is what prevents most disputes.

  5. Validity date

Prices change. State how long the estimate is valid, typically 30 days, so an old price can’t come back to haunt you.

  6. Payment terms

Deposit, progress payments, when the balance is due and how the customer can pay.

  7. Signature

A line for the customer to sign and date turns a price into an agreement you can schedule around.

Estimate template FAQ

Your business details, the customer’s details, an estimate number and date, a clear scope of work, itemised labour and materials, exclusions, a validity date, payment terms and a place for the customer to sign.
An estimate is usually an informed approximation, while a quote is a fixed price. Once the customer signs, it can become part of your agreement. Rules differ by country and state, so check what applies where you work.
Most contractors use 14 to 30 days. Material prices and your schedule change, so a clear valid-until date protects you from honouring an old price.
